Charter Booking Information

How do I charter one of your coaches?
Charters can be booked directly through our business office by calling 866-560-1919 or sending a fax to 603-626-7423. Charters can also be booked and quoted via our online form. This form can be accessed from any computer or mobile device equipped with Microsoft Internet Explorer. To complete the charter booking process using the quotation form, our clients simply need to respond with the appropriate information to the charter quotation email and await confirmation from a charter development specialist.

How much does it cost to charter a coach?
The cost to charter a coach is determined by the number of hours the coach will be used and the distance the coach will travel. Because each scenario is different, New England Coach can only provide estimates to prospective clients via our Online Form. You can also call us at 866-560-1919 and we can provide quotation information over the phone.

Do you require a deposit to book a charter?
New England Coach does not require a deposit in order to book a charter. A charter confirmation will be sent to the client which will need to be signed and returned to guarantee the charter.

What information should I have available when calling New England Coach to charter a coach?
Because our pricing is based on the number of hours and the distance traveled by the coach, it is critical to provide us with your desired pick-up and return times, dates and locations. We will also require billing information and the following if necessary: lodging information (multi-day trips), special instructions and any other requests.

What is your cancellation policy?
New England Coach will only cancel a charter booking at the client's request. New England Coach requires two weeks (14 days) notice of the client's intent to cancel the charter booking in order to receive a full refund. If the client cancels the charter within 24 hours of its scheduled departure time, a $150 cancellation fee will be imposed. If the client cancels the charter within 24 hours of its scheduled departure time and after the coach has already left the lot to meet the group, a $250 cancellation fee will be imposed. Cancellation fees are non-refundable and cannot be applied to future charter bookings in the form of a service credit. Charter Procedures & Equipment Information

Are groups required to provide a driver gratuity?
It is recommended that groups provide a driver gratuity based on the level of service provided by the coach driver. Gratuities typically range from ten percent to twenty percent of the total charter cost. Gratuities may be pre-paid or presented directly to the driver at the completion of the charter. If you wish to pre-pay your gratuity, please mention this to a charter development specialist during the booking process.

Do I have to provide a hotel room for our driver(s) on overnight trips?
New England Coach requires all groups to provide a private room for each driver on overnight trips. At the client's request, New England Coach will secure private lodging for the driver and add the cost of the lodging to the charter booking. Please mention this to a charter development specialist at the time of booking if you wish to add the lodging to the charter invoice.

Are there any restrictions on carry-on baggage?
While there is plenty of luggage storage beneath the coach, there is limited overhead storage space inside each coach. For this reason, we suggest that each passenger limit themselves to carrying one piece of baggage onto the coach.

Does New England Coach have a lost and found program?
New England Coach does have a lost and found program. Items left on the coach are retrieved and kept in a safe spot in the business office. New England Coach does not guarantee that all items left on a coach will be retrieved and returned to the appropriate owner. Certain circumstances remain outside the control of New England Coach employees and therefore there is no guarantee that an item left on a coach will be returned. New England Coach makes every reasonable attempt to return recovered items. New England Coach will ship all lost items at the owner's expense via the owner's preferred shipping method. Any unclaimed items will be discarded after 60 days.

Are your coaches equipped with lavatory facilities?
All of our motor coaches are equipped with fully functioning and immaculate lavatory facilities.

Will our group be able to watch a video on the coach?
All of our luxury motor coaches are equipped with new DVD players, overhead flat-panel LCD monitors and premium sound systems. Groups may bring DVDs to play on the coach while traveling between destinations; however, all DVDs brought onto the coach must be suitable for all passengers.

Is there smoking allowed on the coach?
Smoking is prohibited at all times while inside the coach. Additionally, we ask that you do not smoke outside of the coach's entrance as secondhand smoke often makes its way onto the coach.

Are food and drink allowed on board?
Food and non-alcoholic beverages are allowed on board. If you have a special request and would like to bring a small amount of alcohol on the coach (e.g. champagne for a celebratory toast or a bottle of wine) please mention this to a charter development specialist at the time of booking. New England Coach reserves the right to terminate any charter booking, without refund, if passengers bring unauthorized alcohol onto the coach.

Are laptops, mobile phones or radios allowed on the coach?
Laptops, mobile phones and radios may be brought onto the coach provided they do not disturb other passengers. Passengers bring these items onto the coach with the understanding that New England Coach cannot guarantee any lost items will be returned to their owner, nor will any stolen items be replaced by New England Coach. Additionally, our coaches do not provide power outlets into which laptops and other devices can be plugged.

Can I bring my pet with me?
No pets are allowed on any of our coaches with the exception of those that assist our disabled passengers.

Does New England Coach offer any commuter/line run services?
New England Coach is a private charter operator and does not offer any regularly-scheduled commuter or line run services.

Do you offer different coach sizes?
Yes. We maintain a fleet of 27-passenger and 55-passenger premium motor coaches.

What brand of motor coaches do you operate?
New England Coach purchases and operates only the highest quality premium motor coaches to ensure our clients' complete satisfaction and safety. We purchase and operate Prevost (manufactured by Volvo), MCI and ABC motor coaches.

Which geographic areas does New England Coach serve?
While New England Coach typically performs most of its services in the New England and Northeastern United States, we will travel anywhere in the United States and Canada (excluding Hawaii).

Does New England Coach offer tour packages?

New England Coach does not offer tour packages. New England Coach is strictly an operator of motor coaches and is not involved in any planning or logistics preparation for such tour packages. Billing Information

It appears that my billing invoice is incorrect. Who should I contact?
While New England Coach aims to provide accurate billing invoices 100% of the time, occasional errors do occur. If you believe your billing invoice contains an error, please send an email to billing@newenglandcoach.com.

When is my payment due?
Payment due dates are printed on billing invoices. In general, payment is due no later than two full weeks prior to the charter's departure date. Failure to provide full payment by the due date may result in the charter's deletion.
